1. Agreement and service
These Terms of Use govern authorized access to ReportLedger, provided by Hagen Applied Software LLC d/b/a ReportLedger ("ReportLedger," "we," or "us"). By accepting these terms, you agree to follow them when using the service. The current license is held and managed by the individual consultant, regardless of who pays. An employer, sponsoring firm, or payer does not gain access to or administration of the consultant's private workspace merely by paying, employing the consultant, or supplying report branding.
ReportLedger helps building consultants organize projects and prepare their own reports, forms, schedules, time records, expenses, and invoices. The current release is an invite-only beta for individual professional accounts. Company workspaces, client portals, and carrier portals are not part of this release. Future company features would require new disclosures, acknowledgement by participating users, and explicit, scoped sharing permissions; existing individual accounts will not silently become company-controlled. Available features may change during the beta.
2. Invitations, accounts, and beta access
An access request does not create an account or guarantee an invitation. You must be an adult authorized to perform the work for which you use the service. Maintain accurate account information, use your own credentials, and do not share accounts. Protect your credentials and promptly report suspected unauthorized access.
The standard beta period is 30 days from your first successful sign-in, unless we provide an extension or other access arrangement. We may extend, reset, suspend, revoke, or restore beta access. The beta does not automatically convert into a paid subscription, and the current website does not collect subscription payments. Any future paid service requires separate disclosure and acceptance of its price and billing terms.
3. Permitted use
During authorized access, you may use the service for your professional work, subject to these terms. Do not use it unlawfully, upload material you are not entitled to use, interfere with the service, introduce malicious code, attempt to access another user's records, circumvent access restrictions, or misrepresent your authority or identity.
Upload only information you are authorized to provide and that is appropriate for the feature and access made available to you. Your authority to handle client and claim information comes from applicable law and your agreements; an invitation to ReportLedger does not create that authority. Public support and access-request forms are not a place to upload confidential project files.
4. Software and your work
ReportLedger and its licensors retain rights in the software, product designs, documentation, and other service materials. These terms grant use of the service, not ownership of it.
Your submitted content and the work product you prepare remain yours or belong to the applicable rights holder under your own agreements and the law. You grant us permission to host, process, reproduce, and transmit that content as needed to operate the service for you, respond to support requests, and meet legal obligations. That permission does not transfer ownership or authorize using your confidential work in public marketing.
You must have permission to use uploaded reports, images, logos, and templates. Organization-authorized templates and branding remain subject to the organization's permission. Organization report branding and a user's billing-company profile serve different purposes; review the identity shown on each document before distributing it.
5. Professional responsibility
ReportLedger supports consultant-controlled documentation. It is not a substitute for professional judgment and does not provide legal, engineering, architectural, insurance, safety, or code-compliance advice. You decide what belongs in your work product and are responsible for reviewing it before use or distribution.
The service does not determine causation, insurance coverage, scope, repairability, code applicability, safety, or professional conclusions. Verify calculations, quantities, rates, dates, attachments, recipients, and source information. Check controlling codes and jurisdictional requirements with the appropriate official source or Authority Having Jurisdiction.
Public records, maps, weather, and other references may be incomplete, outdated, or unavailable. Optional assistance, when enabled, may extract equipment-label text, receipt information, or basic project details for your verification. Professional report writing, rewriting, findings, explanations, and conclusions remain consultant-authored. Ordinary spellcheck and basic document editing do not change that responsibility.
6. External services
Selected features may use external mapping, data, communication, or assistance services. Their availability and permitted uses may be subject to additional terms. Preserve required source attribution and do not use external content beyond the rights provided by its source.
Features containing Google Maps content are subject to the Google Maps / Google Earth Additional Terms of Service and Google Privacy Policy. External websites you choose to visit have their own terms and privacy practices.
7. Records, privacy, and exports
Our Privacy Notice explains the handling of account, project, and technical information. ReportLedger is an online service. Temporary work in a browser is not a guarantee of a saved cloud record, offline access, or an independent backup. Keep copies of documents and records you need for your professional or legal retention obligations.
Beta records are ordinarily recoverable for up to 180 days after the controlling access-expiration or revocation event, subject to applicable deletion requests, preservation requirements, and the retention practices described in the Privacy Notice. Expiration restricts ordinary access without itself silently deleting all records. Contact us about recovery; the service does not promise permanent storage.
Saved project photos, reference documents, working files, and original receipts are retained during active access within the applicable storage allowance; closing a project does not trigger a 30- or 90-day deletion deadline for those saved files. Preservation holds pause ordinary deletion of records still held. Storage allowances and any paid upgrades will be disclosed separately; reaching a limit does not authorize an automatic charge.
You control where you distribute downloaded work and are responsible for checking its contents and recipients. Downloading an invoice or report does not itself send it to a client, adjuster, or office.
8. Availability and warranties
Beta features may change, be interrupted, or be discontinued. Except for an express warranty in an applicable written agreement and rights that cannot lawfully be excluded, the service is provided "as is" and "as available." To the extent permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee uninterrupted availability or the completeness, currency, or accuracy of external information.
9. Liability
To the extent permitted by applicable law, ReportLedger is not liable for indirect, incidental, special, consequential, or punitive damages, including consequential losses of profit, data, or business opportunity arising from beta use. This exclusion does not apply where the law prohibits it and does not limit liability that cannot lawfully be limited. Nothing in these terms waives nonwaivable statutory rights.
10. Changes, suspension, and termination
We may restrict or suspend access for security, misuse, legal requirements, or the end of a beta period, and may restore access when appropriate. You may stop using the service and contact us to request account closure. Record retention and deletion are handled as described above and in the Privacy Notice.
We will publish revisions to these terms with an updated date and provide notice of material changes. Where required, continued access will depend on accepting the revised terms. Ownership, accrued obligations, professional responsibility for completed work, applicable liability provisions, and retention obligations survive the end of access to the extent relevant.
11. Governing law
Minnesota law governs these terms, without its conflict-of-law rules. Subject to any mandatory rights or venue rules that apply, disputes will be brought in the state or federal courts located in Ramsey County, Minnesota. A separate written agreement may govern a specific matter to the extent it expressly supersedes these terms.
